Booking Terms & Conditions + Cancellation Policy

1. Booking Confirmation
To secure your booking at Avana Byron, the following is required:

• A deposit of 50% of the total booking fee

• A signed copy of these Terms & Conditions

Your dates are not held until both deposit and agreement are received.

2. Payment Terms

• Remaining balance due 30 days prior to arrival

• Bookings made within 30 days require full payment upfront

3. Cancellation Policy

Rescheduling:

More than 30 days notice: No fee

Between 8 - 30 days: 10% rescheduling fee (of total booking cost)

Within 7 days: 30% rescheduling fee (of total booking cost)

Cancellations & Refunds

More than 60 days notice: 10% of total booking cost is charged

Between 30–60 days’ notice: 50% of total booking cost is charged

Within 7 days: 75% of total booking cost is charged

Additional Information

If a cancellation occurs, we will make every effort to rebook your dates.

If we are successful, a partial refund may be offered at our discretion.

5. Guest Responsibility

The retreat host is responsible for:

• All guests on the property

• Ensuring respectful use of land, facilities, and neighbouring environment

• Any damages, loss, or misconduct during the stay

We are a nature-based space — care and awareness are expected.

6. Capacity & Use of Space

• Maximum guest numbers must be agreed in advance

• No additional guests without prior approval

• Use of facilities must align with agreed booking purposes 

7. Noise & Environment

• Respect for the land, wildlife, and surrounding community is essential

• No amplified music after agreed hours

• This is not a party venue — it is a space for connection, nature, and meaningful experiences

9. Force Majeure

Avana Byron is not liable for cancellations or disruptions due to events beyond our control, including but not limited to:

• Extreme weather

• Natural disasters

• Government restrictions

In these cases, we will work with you to reschedule where possible.

10. Insurance

We strongly recommend all retreat organisers hold:

• Public liability insurance

• Event cancellation insurance

Avana Byron is not responsible for participant injury, loss, or personal belongings.

11. Arrival & Departure

• Check-in / check-out times will be agreed prior to booking

• Late departures may incur additional fees

12. Agreement
